1. Terms and Definitions
Service (NeuroCRM) — a software and hardware platform located at https://neuro-crm.com, designed to automate communication with clients and manage CRM workflows using artificial intelligence and neural networks.
User — an individual or legal entity registered with the Service who creates and manages Projects.
User’s Clients (End-Users) — third parties who communicate with the User through connected messaging channels and social networks.
Project — a workspace created by the User within the Service containing integration settings, dialogue history, CRM data, and account balance details.
2. Information We Collect
The Administration collects and processes the following categories of data:
2.1. User Account Data
Mobile Phone Number — collected as the primary identifier for user authentication, login, account verification, and security.
Account and Profile Details — name, username, Project configuration settings, and defined AI system rules.
Financial & Billing Information — top-up history, internal account balance, records of AI service consumption, and payment gateway tokens/transaction IDs (the Service does not store full credit card details).
2.2. Integration and Messaging Data
To enable AI communication and automated CRM management, Users connect third-party messaging services and social networks (including Telegram, WhatsApp, Instagram, VKontakte, Max, and others). Within these integrations, the Service processes:
Authorization Tokens, API Keys, and Session Data for the connected messaging accounts.
Text, Voice, and Media Messages transmitted through the connected channels.
Contact Details and Profiles of User’s Clients (names, phone numbers, usernames, social network IDs).
AI-Generated CRM Entities, including lead status cards, deal stages, tags, notes, and interaction analytics.
2.3. Technical and Analytics Data
IP addresses, browser type and version, operating system, Cookie files, access timestamps, and technical error logs.
3. Purposes of Data Processing
We process personal data strictly for the following purposes:
Authentication and Access Management: Identifying Users by phone number, creating, and securing User accounts.
Core Service Functionality:
Enabling AI models to conduct automated conversations with User’s Clients across connected channels (Telegram, WhatsApp, Instagram, VKontakte, Max, etc.).
Automatically generating, updating, and maintaining the CRM database based on conversation context.
Billing and Accounting: Managing the User's internal balance, tracking resource consumption (AI tokens/requests), processing top-ups, and providing financial statements.
Service Optimization and Support: Improving AI response accuracy, debugging errors, and delivering customer support.
Security: Preventing fraud, unauthorized access, abuse, and spam.
4. Processing Data via Artificial Intelligence (AI)
AI Interaction: Messages and media received within connected Projects from messaging channels are transmitted to neural network models (LLMs) to generate responses and extract CRM data (deal stages, contact details, user preferences).
Data Confidentiality: Data transmitted to AI models is used strictly to serve the specific User's Project.
User Responsibility: The User warrants that they have obtained all required legal grounds and explicit consents from their Clients (End-Users) to process their communications and personal data via automated AI systems through the Service.
5. Sharing Data with Third Parties
We do not sell or rent personal data to third parties. Data may only be shared under the following conditions:
Messaging Platforms & Social Networks: Data is transferred via official or client APIs of Telegram, WhatsApp (Meta), Instagram (Meta), VKontakte, Max, etc., to maintain messaging connectivity.
AI Service Providers: Dialogue context is transmitted to artificial intelligence API providers solely to generate relevant responses or extract CRM structured data.
Payment Processors: Transaction data is shared with licensed payment gateways to process account balance top-ups.
SMS Verification Services: Phone numbers are shared with SMS gateway providers to send one-time authorization codes.
Legal Compliance: When required by law or in response to valid legal requests from law enforcement or government authorities.
6. Data Storage and Security
Security Measures: We implement appropriate technical, organizational, and administrative safeguards to protect data against unauthorized access, loss, alteration, disclosure, or destruction.
Retention Period: User and Project data are retained for as long as the User’s account remains active.
Data Deletion: Upon deletion of a Project or User account, associated data—including integration tokens, chat histories, and CRM records—will be permanently deleted or anonymized within 30 (thirty) calendar days, unless longer retention is required by financial regulations or law.
7. User Rights
Users hold the following rights regarding their data:
To request details regarding the scope and categories of their personal data processed by the Service.
To disconnect, edit, or revoke messaging integration permissions at any time via the Project interface.
To request full deletion of their account, phone number, and related Projects.
To withdraw consent for data processing by contacting our support team.
8. Cookies and Tracking Technologies
The Service utilizes Cookie files and similar technologies to maintain user authorization sessions, remember interface preferences, and gather anonymized web analytics regarding website usage at neuro-crm.com. Users may disable Cookies in their browser settings; however, doing so may affect the proper functionality of certain Service features.
9. Changes to This Privacy Policy
The Administration reserves the right to update or modify this Privacy Policy at any time at its sole discretion.
The updated Policy becomes effective immediately upon publication at https://neuro-crm.com/privacy (or the designated policy page on the site).
Continued use of the Service after changes are published constitutes acceptance of the revised Privacy Policy.
